FAQ – Cancellation insurance for incentive and group trips

Clear answers to the questions we are most frequently asked about cancellation insurance for incentive and group travel.

If you are organising a group trip and something happens that requires the trip to be unexpectedly cancelled, postponed or interrupted, this insurance will ensure you are reimbursed for the costs.

If you have to arrange replacement accommodation or transport to ensure the trip can still go ahead, that will also be covered. In addition, the insurance also includes liability cover.

It is also possible to extend the insurance with: 

  • non-appearance cover (which covers the risk that the trip has to be cancelled because an important person unexpectedly cannot go with you); 
  • travel insurance. 

Circumstances beyond the control of the insured party that require an incentive or group trip to be cancelled, postponed or interrupted, such as: 

  • financial difficulties at a party involved in the trip (such as a hotel going bankrupt); 
  • unexpected strikes, for example in public transport or at the airport; 
  • the death of a trip participant; 
  • government intervention (such as closure of an airport or a change to travel advice).

If it is your own fault that the trip does not go ahead - for example, because the group leaves late and therefore misses the flight - this is not insured. It may also be the case that a claim is already compensated by another insurer or body, such as ANVR or SGR(Z). If that is the case, you will not receive any compensation from us. Furthermore, a claim will also not be compensated, for example, if the trip cannot go ahead because of an epidemic or pandemic or because of a war. Consult our terms and conditions if you want to know exactly what is excluded.

You can choose to add non-appearance cover to the cancellation insurance for incentive and group travel. With this cover, you insure people who are so important that the group trip would not go ahead without them (such as the company director). If a group trip has to be cancelled because an insured person cannot attend due to, for example, serious illness or death, the loss will be reimbursed. Insured persons must be healthy at the time the insurance is taken out.

The cancellation insurance for incentive and group travel consists of the following coverages: 

  • Cancellation or rescheduling of the trip, or parts of it
  • Replacement transport and accommodation
  • Liability (secondary)
  • Cancellation due to non-appearance (optional)

If one of the trip participants causes damage to belongings or injury to persons, you may be held liable for it. With the liability cover included in group travel cancellation insurance, you are covered for this.

The liability cover included in the insurance is secondary. This means the insurance provides cover only if a claim is not covered by the regular liability insurance of the company organising the trip.

If the trip has to be cancelled, or anything else happens that could lead to a claim, please contact us as soon as possible. We will then check whether the insurance covers it, and then make sure your claim is paid out as soon as possible.

If part of your incentive or group trip cannot go ahead, but part of it can, you can assume you will receive a pro rata payment. We determine what percentage of the damage is to be reimbursed depending on which part or how many days of the trip cannot go ahead. Therefore, this is always a pro rata reimbursement and never the entire sum insured. You can read exactly how this works in the terms and conditions.
